A corporate catering quote template, boxed lunches through plated dinners.

This is a free corporate catering quote template that covers the whole corporate range on one document: drop-off boxed lunches, buffet spreads, breakfast service, and the full-service plated dinner, each priced per head with the count on the line. Around the food sit the lines corporate clients actually scrutinize: the delivery fee, setup, dietary accommodations, and staffing when the event graduates from drop-off to served. Load it in the builder, set the headcount, and price the rest.

Corporate catering is repeat business won on legibility. The office manager comparing three quotes forwards the one they can read, and the accounting team approves the one where the delivery fee isn't hiding inside the sandwich price. Per-head lines with visible counts also make the recurring conversation easy: same menu, forty heads instead of twenty-five, new total, ten seconds. The recurring-order discount has its own line, because retention deserves better than a handshake.

How it works

01Load the template

Open it in the builder and the order is already structured: menu per head, delivery and setup, full-service staffing, rentals. Delete what this event doesn't need. A Tuesday boxed-lunch drop is three lines, quoted before the elevator arrives.

Drop-off → plated
02Price it, margin in view

Set the headcount and your per-head rates; the delivery fee and staffing price alongside. The P&L updates while you type, so the free-delivery favor for the big account is a decision, not a leak.

03Send the client version

Export a clean client quote: menu, headcount, prices, one total. It's generated from a copy that never held your costs, margins, or internal notes, so there is nothing in the file to scrub and nothing for procurement to find.

Questions

The full guide (units, tax math, deposits, exports) lives on the Help page. It’s genuinely thorough. We’re as surprised as you.

What does a corporate catering quote include?

Four sections: menu and food per head (boxed lunches and drop-off, buffet, breakfast and coffee, plated dinner, snacks, dietary accommodations), delivery and setup (the delivery fee, serviceware, pickup, disposables), full-service staffing priced people-times-hours, and rentals and extras including a recurring-order discount line. One template covers the drop-off lunch and the board dinner; you delete in one direction or the other.

What does corporate catering go for in 2026?

Team lunches commonly run $18 to $30 per person for food plus a $55 to $85 delivery fee, with boxed and drop-off orders at $12 to $25 per head. Buffets typically land at $20 to $40 and full-service events $50 to $120 and up. Major metros run higher: New York offices commonly see $28 to $50 per person. Headcount, service style, and frequency drive the number, and frequency is the one worth discounting visibly.

How do I quote drop-off versus full-service on one document?

Keep the food per head and let the sections do the splitting. A drop-off order uses the menu lines plus the delivery fee; a served event adds the staffing section priced people-times-hours and the rentals. The client sees the difference as lines, which is also the upsell: the distance between drop-off and staffed buffet is visible, priced, and about four rows long.

Is the corporate catering quote template free to use?

Yes, actually free. The builder runs without an account, and the free plan includes every export: client PDF, Excel, CSV, an internal budget export, and a read-only share link that carries a client-safe copy inside the link itself. A free account adds one cloud-saved estimate. Pro is a one-time purchase, not a subscription: your branding on client exports, no Estimatery footer, unlimited cloud saves, and a Saved Items catalog for the standing orders you quote every week.
